Operations Administrator
We are looking for an Operations Administrator to help keep PPL running smoothly as we grow. This is a varied role combining systems and process administration, practical office coordination, and front-of-house support for colleagues and visitors. At its heart, the role is about creating the reliable foundations and responsive support that enable the wider team to do their best work and maximise PPL’s impact.
About PPL
PPL is a management consultancy with a difference.
As a social enterprise and certified B Corp, we work with the NHS, local government and civil society to improve services and outcomes for people and communities across the UK.
Our social purpose is central to our operating model. We donate over 50% of our profits to support charities and wider social impact and provide every member of the team 10 days of paid volunteering leave each year. It also shapes how we work: with care, integrity, high standards and a strong sense of responsibility to one another.
We are in an ambitious period of growth. Our Shared Services team helps make that possible by creating a well-run, welcoming organisation where people have the systems, information and practical support they need to do great work.
The opportunity
This is an established role within our Shared Services team. You will work closely with our Operations Administrator (People) and colleagues across PPL to keep our day-to-day operations running smoothly and to improve the systems and processes that support our growth.
The role combines practical, people-facing support with the administration that keeps an organisation running well. You will be a visible and approachable presence in our office, welcoming visitors and helping colleagues with day-to-day requests, while maintaining accurate systems and records, coordinating repeatable processes and resolving operational issues. Whether you are responding to someone in the moment or improving a process behind the scenes, the focus is the same: making it easier for others to do their best work and enabling PPL to maximise its impact.
Because front-of-house support and closing the office are regular parts of the role, you will work from our Central London office five days a week. Core hours are 9.30am to 6.00pm, with some flexibility around these hours occasionally required to meet operational and front-of-house needs.
What it is like to work in the team
"Working in Operations Administration at PPL is such a welcoming and rewarding opportunity. The role gives you exposure to many different areas of the organisation and the chance to see how meaningful work across public health comes together.
You are part of a genuinely supportive team, where people are always willing to help, share knowledge and encourage you to learn. PPL is also brilliant at supporting growth and development, helping you build a career path that works for both you and the team.
I feel incredibly lucky to be part of the PPL team.”
Erin, Operations Administrator (People)
What you will do
Support colleagues and visitors
• Provide a consistent and professional front-of-house presence, welcoming guests and responding to visitor queries.
• Help colleagues with practical requests and work with the wider Shared Services team to provide a responsive, joined-up service.
• Coordinate practical arrangements such as travel, accommodation, venues and office supplies.
• Take responsibility for closing the office each day and help ensure the workplace is welcoming and well run.
Keep systems, information and processes reliable
• Maintain and administer organisational systems, making sure information is accurate, up to date and easy to use.
• Maintain organisational records and documentation, including operational and team information.
• Support structured administrative processes across Operations, Finance and HR, including payroll inputs, onboarding documentation and record management.
• Maintain useful action logs, checklists and guidance so that routine work is completed consistently.
Solve problems and improve how we work
• Investigate operational issues, identify what is causing them and work with the right colleagues to resolve them.
• Spot recurring problems or unnecessary complexity and suggest practical ways to improve workflows.
• Develop and update clear standard operating procedures and internal guidance.
• Support audits, compliance checks and other repeatable operational activities.
What you will bring
You may already be working as an Operations Administrator, Office Administrator, Team Administrator or in another role that combines accurate administration with practical support for colleagues and customers. Job titles matter less to us than your approach and your ability to take ownership of a varied workload.
• You get satisfaction from enabling colleagues to do their best work.
• You are approachable, responsive and comfortable being a visible point of contact for colleagues, visitors and suppliers.
• You are highly organised and able to balance planned, focused work with the practical requests and interruptions that come with supporting a busy office.
• You have strong attention to detail and take pride in keeping systems, records and processes accurate and reliable.
• You think logically, notice when something is not working and look for sensible ways to solve the underlying problem.
• You communicate clearly and professionally and follow tasks through to completion.
• You are confident using Microsoft Office and learning or administering organisational systems.
Experience supporting HR, Finance or operational systems, documenting processes, managing access or onboarding, or working in consultancy or professional services would be useful, but is not essential.
What PPL offers
• A salary of £35,000 to £37,500 per annum, plus a wider benefits package.
• A varied role where good administration and thoughtful support make a visible difference to the whole organisation.
• Purposeful work in a social enterprise where commercial success funds wider social impact.
• An exceptionally capable and generous team, with a culture that combines high standards with trust and mutual support.
• The opportunity to develop your skills as PPL grows and improves its systems and ways of working.
We reserve the right to close this vacancy early if we receive a high volume of applications, so we encourage you to apply as soon as possible.
